Refund & Cancellation Policy

Online registration for the 41st Indian Engineering Congress.

1. Registration Fee

The registration fee is collected from participants for attending and participating in the three-day 41st Indian Engineering Congress, scheduled from 18 to 20 December 2026 at the ESCI Campus, Hyderabad.

2. No Cancellation / No Refund

Once the registration fee is successfully paid, it is strictly non-refundable and non-cancellable.

No refund will be provided in case of:

• Cancellation of registration by the participant;
• Non-attendance at the Congress;
• Change in travel plans;
• Personal or professional reasons;
• Medical or other personal circumstances;
• Delay or cancellation of travel arrangements;
• Failure to attend one or more days of the Congress; or
• Any other reason attributable to the participant.

3. Registration Transfer

Registration is personal to the registered participant and shall not be transferred to another person without prior written approval from the Congress Registration Support Team.

Any approved substitution, if permitted, shall be subject to the applicable registration procedures and verification requirements.

4. Duplicate or Erroneous Payment

In the event of a verified duplicate payment or an erroneous payment, the participant may contact the registration support team with the relevant transaction details.

Any refund in such cases will be considered only after verification and reconciliation and will be processed through the applicable payment gateway/banking channel.

5. Failed Transactions

If the participant’s account is debited but the registration is not successfully completed due to a technical or payment processing issue, the participant should contact the registration/payment support team with the transaction reference number and payment details.

Such cases will be verified with the payment gateway and/or bank before any applicable refund or transaction reversal is processed.

6. Cancellation or Postponement by Organizers

In the unlikely event that the Congress is cancelled or postponed by the organizers due to circumstances beyond their reasonable control, the organizers will communicate the applicable arrangements to registered participants.

Any refund, credit, transfer or other arrangement in such circumstances shall be determined by the organizers, subject to applicable law and payment gateway/banking procedures.

7. Payment Gateway Charges

Where a refund is approved in accordance with this policy, any non-refundable payment gateway, banking or transaction charges, where applicable, may be deducted from the refundable amount.

8. Refund Processing

Where a refund is approved, it will normally be processed through the same payment method/payment gateway used for the original transaction, subject to the applicable banking and payment gateway procedures.

The time taken for the amount to reflect in the participant’s account may depend on the payment gateway, bank, card issuer or other financial institution.

9. Request for Refund

Any request concerning a duplicate, erroneous or failed transaction should include:

• Participant’s name;
• Registration details;
• Transaction/reference number;
• Date of transaction;
• Amount paid; and
• Relevant payment confirmation/proof.

Requests may be submitted to the designated Congress Registration Support Team.

10. Final Decision

All refund-related requests will be reviewed and processed in accordance with this policy. The decision of the 41st Indian Engineering Congress Organizing Committee regarding eligibility for any refund shall be subject to applicable law and the terms of the payment gateway.
